Feature Article – Event Design: Setting the Stage for a Sell Out Performance – By Corinne Sebesta

Think about it: When was the last time you had an event “just because”, sans agenda or desired outcome?  Probably never.  From cocktail parties to business conferences to a dinner party at your home, when hosting an event, you aim for a positive outcome: sometimes it is to educate your clients, forge a new relationship or deepen a friendship.

Event décor has a subtle but significant impact on the way your attendees view the event and your company.  It’s important to know your company, draw from its strengths and paint that picture for your attendee.  Blending your corporate objectives with the creative imagery that lighting, draping, staging and floral provide can both give attendees a memorable experience and demonstrate in a visual way the organization’s objectives. Events give an attendee the opportunity to “experience” the company first hand.

As a planner it is important to make sure the way in which you present your company not only fits your corporate image, but also resonates with your client’s preferences, needs and taste.  It would be odd for a venue with traditional English gardens to plan an event utilizing minimalist Asian design, just as it would be for a contemporary hotel to feature English garden arrangements in their lobby.  Neither takes into consideration the client base the venues have established and are attracting.  The same is true for your event. If you are looking to launch a new cutting edge product to hip urbanites, your event décor needs to be hip and cutting edge.  Watered-downed or generic ho-hum décor will diminish the impact of the décor.  Additionally, incompatible décor can give the attendees the impression that you aren’t a good fit with their preferences.  It’s imperative to know your attendees and match your décor to their tastes.

Get creative.  Whatever your budget, utilize it to create a cohesive and inspiring experience.  For example, if your company is throwing a 100th Anniversary gala, put together a collage of pictures in a power point presentation and project them into theatrical framing around the room.  The cost will be minimal, but the results will be moving and memorable.

There is always a greater purpose for the events we plan.  Utilizing your assets and getting creative can have a lasting impact on your clients.

Featured Destination – Greater Madison Convention & Visitors Bureau

madison

The Greater Madison Convention & Visitor Bureau (GMCVB) ensures people and groups coming to its city that they will be both intellectually and emotionally enriched.  To achieve this, Madison has successfully combined its great reputation for education and research with its diverse cultural assets and breathtaking natural resources.  Situated on an isthmus between two glacial lakes, Madison enjoys an almost unmatched beauty.  State Street, a central pedestrian thoroughfare, connects the University of Wisconsin to the State Capitol Building, with several blocks of ethnic and local restaurants and interesting shops and boutiques in between.

Perhaps the best example of Madison’s intellectual and emotional culture, however, is the area’s long-time reputation for eco-friendliness and heritage of leadership in environmental and conservation issues.  In addition to experiencing this culture directly through the greatly accessible and affordable downtown environment, meeting planners and their attendees can appreciate Madison’s culture at the airport, hotels, and convention center or meeting place.

The Dane County Regional Airport recently completed a $65 million construction and renovation incorporating 25 green building strategies and Frank Lloyd Wright-inspired design.  It is the first airport to receive the Federal Aviation Administration-Great Lakes Region's Outstanding Achievement Award for Environmental Stewardship.  The area’s major convention facilities (Alliant Energy Center and Monona Terrace® Convention Center) have each taken significant steps to reduce their overall environmental impact and improve energy efficiency; both facilities are now Travel Green Wisconsin certified.  Steps from the Capitol, and overlooking the lake, the Frank Lloyd Wright designed Monona Terrace has recently been awarded the Leadership in Energy and Environmental Design (LEED) certification for existing buildings.

The Greater Madison Convention & Visitors Bureau is committed to working with meeting planners to ensure every convention or meeting in the greater Madison area meets each groups’ needs and requirements, and that that each visitor is enriched both intellectually and emotionally. To learn more about Madison, please contact your Hyland Group representative.
