It's hard to believe we've reached the halfway mark of summer. The Hyland Group staff was active all through the month of July with industry events. Amber Levy and Erin Tench, CMP, represented The Hyland Group at Meeting Professionals International's WEC held in Dallas, Texas. Peter Hyland enjoyed spending time with industry executives and THG portfolio members during Destination Marketing Association International's (DMAI) annual conference in Austin, Texas. Hospitality Sales & Marketing Association International's World Quest in Chicago was attended by Tracy Stein, while Steve Beamer exhibited at the event in Washington, DC. On August 1, you'll be able to find THG Chicago staff at DMAI's Destinations Showcase. From there, the next stop for The Hyland Group will be American Society of Association Executives' 2006 Annual Meeting in Boston, Massachusetts.
Don't forget to mark November 1-2 on your calendars for the debut of the Mid-Atlantic Conference & Exposition (MACE! 2006) presented by Meeting Professionals International Potomac Chapter (PMPI). There are many ways to use technology to expand the reach of your programming, but a webcast can really bring the presentation experience directly to your members. The term webcast is often used loosely to describe a range of web-based presentations, but for the purposes of this article, a webcast refers to a recorded video of the presentation, accompanied by the presenter’s PowerPoint presentation.
To prepare the webcast, the presentation is digitally recorded. Some vendors use a technology that allows them to feed the video, audio and PowerPoint/computer data directly into a final

webcast product. This enables a quick turnaround on the final product, but does not allow for any tweaking of audio, video, etc. Other venders will manually synch the video with the PowerPoint slides after the recording is complete. The benefits to this process, which does allow for editing, result in a sharp final product that excludes technical problems, dead space and unwanted content. Regardless of the process used, the end result is a video properly synched with the PowerPoint slides. As the presenter in the video is referring to a slide, that slide will be showing on screen next to the video. The webcast is designed as an “on demand” product, so that viewers can skip ahead, pause if necessary, or watch only the parts in which they are interested. The webcast can be posted on your association’s website and your members can view it at their leisure.
Some tips for producing a successful webcast:
• Obtain written consent from your presenters to videotape their presentation and use their PowerPoint slides.
• Though not all vendors will require or suggest, it is strongly recommended that you hang a blue drape behind your stage/podium for maximum video quality.
• You will need proper lighting to achieve high quality video. Your vendor may provide their own lighting, or can guide you to order appropriate lighting. You will need, at a minimum, a general stage wash, and backstage uplighting and downlighting. If you are recording in your main ballroom with an extensive stage set, the existing backdrop and lighting will likely be sufficient for recording.
• Allow sufficient time for setup and testing of all equipment in advance of the session.
• Verify the lighting and audio technicians are present in the room for the entire session.
• Make sure all presenters use a microphone when speaking, whether at the podium or the head table; and all audience members use the floor microphones when asking questions.
• Know what you want the final product to be. For example, if the session has two presenters but you only want to record and webcast the second one, make sure your vendor knows that. Unexpected major edits will increase your cost and delivery of the final product.

For the first time in its 92-year history, the Washington, D.C.-based Destination Marketing Association International (DMAI) brought its annual conference of convention and tourism industry leaders to the Lone Star State, and to Austin, in particular. The Annual Convention took place July 19 through 22 and a good time was had by all!

Production is under way for an Austin-based reality TV show called "Heat." It's a food program — sort of "'Hell's Kitchen,' 'Survivor' and 'Apprentice' all rolled into one," says David Bull, executive chef of the Driskill Hotel. He is producing the show with the Great American Film Project, a nonprofit agency dedicated to the education and promotion of aspiring student filmmakers. In the pilot episode of "Heat," 12 kitchen newbies are chosen to read a menu and then cook dinner for 20, with the assistance of Bull and his sous chef Josh Watkins, who critique the dishes. Students vote on who gets fired, although the chef can veto the vote. "It's 100 percent unscripted," says Bull, and each episode will have a different meal challenge.
Nicki Grossman, president of the Greater Fort Lauderdale Convention & Visitors Bureau, has been elected Chair Elect of VISIT FLORIDA in 2006-2007 and the Chair of VISIT FLORIDA for 2007-2008 — the first-ever convention and visitors bureau official to chair VISIT FLORIDA in its 10-year history.
Cynay Smith, associate director of sales at Semiahmoo Resort, was recently named Associate Member of the Year by the Washington Society of Association Executives (WSAE). The award recognizes Smith’s leadership and involvement within the Washington association community.
The CBS Early Show is hitting the road for “The Great American Vacation,” and they picked the Spokane as one of their 16 nationwide stops! CBS News weather anchor Dave Price visited with Spokane residents on June 30th.
